No, absolutely not. You can create your hotel account and start using the system instantly without providing any payment information.
4. Why is Work For Client offering this for free? +
Our mission is to empower the hospitality industry. While the core HMS is free, we generate revenue through premium custom development, website building, and advanced enterprise integrations for larger hotel chains.
5. Do I need to download or install any software? +
No. WFC HMS is a cloud-based SaaS platform. You can access it from any web browser on your PC, tablet, or smartphone.
6. Can I manage multiple properties with this system? +
Currently, one registration handles one hotel property. If you have multiple hotels, you can register them separately with different email addresses.
7. Who can use this software? +

8. What happens if I want to delete my account? +
You can contact our support team to completely terminate your account. All your data will be permanently deleted from our servers to ensure privacy.

11. How do I add rooms to the system? +
Go to the "Room Management" section in your Admin Dashboard, click "Add Room", and enter the room number, type, and price.
12. Do I need high-speed internet to run WFC HMS? +
No, our software is highly optimized and lightweight. A basic 3G/4G or standard broadband connection is sufficient to run it smoothly.
13. Can I import my existing guest data? +
Currently, data input is done manually per booking. However, we are working on a bulk CSV import feature for future updates.
14. What devices are compatible? +
WFC HMS is fully responsive. It works perfectly on Windows PCs, Macs, iPads, Android tablets, and all smartphones.
15. Is there a tutorial or training manual? +

Your receptionist selects an available room, enters the guest's details and ID, and clicks "Check-in". The room status automatically changes to 'Occupied'.
17. Does the system calculate taxes and GST automatically? +
Yes, you can configure your tax rates (e.g., 12% or 18% GST) in the settings, and the system will auto-calculate it during billing.
18. Can I process early check-ins or late check-outs? +
Absolutely. The billing module allows you to manually add custom charges for early arrivals or delayed departures before generating the final invoice.
19. Can I track where my bookings are coming from? +
Yes, when creating a booking, you can select the source (e.g., Direct Walk-in, Website, MakeMyTrip, Agoda) for accurate revenue analytics.
20. Is there an overbooking alert system? +
Yes. The system prevents you from assigning a room to a new guest if it is already occupied or reserved for those dates.
21. Does WFC HMS send automatic emails to guests? +
If configured via SMTP in the settings, the system can send booking confirmations and e-invoices directly to the guest's email.
22. Can I manage different room pricing for weekends? +
Yes, the Admin can manually adjust room pricing dynamically based on seasons, weekends, or special events.
23. How are payments recorded? +
During checkout, you can select the payment mode (Cash, Credit Card, UPI). The system will log this for your daily financial reports.

👥 Staff & User Management

24. How many staff members can I add? +
There is no strict limit. You can add as many receptionists, housekeeping staff, and managers as your hotel requires.
25. What is Role-Based Access Control? +
It means a Receptionist can only see bookings, Housekeeping can only see room statuses, and only the Admin/Manager can view financial reports and delete records.
26. Can a receptionist delete a bill? +
No. Critical actions like deleting invoices or modifying past financial records are restricted to the Admin role to prevent fraud.
27. How does the Housekeeping Panel work? +
When a guest checks out, the room is marked "Dirty". Housekeeping staff log into their panel, clean the room, and update the status to "Clean & Available".
28. Are staff actions logged? +
Yes, bookings and invoice creations are tied to the staff member who processed them, helping you track accountability.
29. Can I reset my staff's password? +
Yes, the Hotel Admin has full authority to edit staff profiles, change their roles, or reset their passwords at any time.
30. Can a manager access the system from home? +
Yes, because it is cloud-based, managers can log in securely from anywhere to monitor live revenue and occupancy.

🍽️ Inventory & QR Dining

31. What is the QR Room Dining feature? +
We provide a unique QR code for each room. Guests can scan it with their phones to view your restaurant menu and place orders directly to the kitchen.
32. Are food orders added to the final bill? +
Yes! When a guest places a room service order, the cost is automatically attached to their active room booking and reflected during checkout.
33. Can I track inventory like water bottles and soap? +
Yes, the Inventory module allows you to add stock. You can deduct quantities manually as they are consumed by housekeeping or guests.
34. Can I change the restaurant menu items? +
Absolutely. The Admin can add, edit, or remove dishes and change prices instantly. The QR menu updates in real-time.

Extremely secure. We use isolated SQLite databases for every single hotel, meaning your data is never mixed with another hotel's data. Passwords are encrypted using modern hashing algorithms.
37. Who owns the data stored in the system? +
You do. Work For Client only hosts the software. Your guest lists, financial data, and business metrics are entirely your property.
38. What happens if I forget my Admin password? +
You can contact our WFC Super Admin support team. After verifying your identity, we can issue a secure password reset link.
39. How often is the software updated? +
